What Is Planned Preventative Maintenance?
Planned preventative maintenance (PPM) is a scheduled programme of regular inspections and routine upkeep designed to keep a commercial property in good condition — and to catch problems early, before they become expensive. Unlike reactive maintenance (fixing things after they break), PPM prevents problems from occurring in the first place. For commercial tenants, it is also the most cost-effective way to protect against a large dilapidations bill at lease end.

Planned preventative maintenance (PPM) is a scheduled programme of routine inspections, minor repairs, and upkeep carried out at regular intervals — typically monthly or quarterly — to keep a property in good condition and prevent small issues from becoming costly problems. Unlike reactive maintenance (which responds to problems after they occur), PPM identifies and addresses defects early. For commercial properties, PPM is also the most cost-effective way to satisfy the repair covenants in a commercial lease and minimise the dilapidations claim at lease end.
A properly maintained property with documented condition records throughout the lease is in a fundamentally better position when the dilapidations schedule arrives. First, the physical condition of the property is better — fewer years of deferred maintenance means fewer items on the schedule. Second, the condition records we provide give you photographic and written evidence of the maintained state, which can be used to challenge items on the landlord's schedule. The most expensive dilapidations claims come from properties where nothing was maintained during a 5–10 year lease. Regular PPM prevents that scenario.
Our PPM contracts are tailored to the property and agreed at the start. A typical contract includes: monthly or quarterly site visits; written and photographic condition reports after each visit; a schedule of routine works carried out during each visit (decoration touch-ups, sealant renewal, door adjustments, minor repairs); priority reactive call-out between scheduled visits; and consolidated monthly invoicing. We can also include larger planned works (redecoration cycles, flooring replacement, external maintenance) at agreed intervals.
